STEP 1 -
INFORMATION WE NEED FROM YOU
We suggest you jot your ideas down
so that you have them all to hand when you contact us to request
your free, no-obligation quote! Please feel free to contact us at
any time to ask for clarification!
• Choose your Destination.
Would you like to visit Panorama,
Sun Peaks, or Whistler?
How about a combination of two, or all three resorts? Would you
like to visit Vancouver, too, while you're in the area?
• Your Dates.
Would you like to visit in the warmer months of summer, or would
you prefer to enjoy the snows of winter? Please give us your arrival
and departure dates, or at least let us know what month you'd like
to travel, and how long you'd like to stay.
• Who'll be Coming?
How many adults? Are they couples or singles? Any seniors (over
65)? How many children - and what will their ages be at the time
of travel?
• What's to be Included?
Compass Tours can prebook most arrangements - accommodation, air
and ground transportation, lift tickets, rental equipment, lessons,
golf, activities, dinner reservations, etc. Remember that there's
less chance of disappointment if you book ahead!
• What about Accommodation?
There are several factors that you need to consider when you're
choosing your accommodation:
- Location: The
options include ski in/out, village area, on the free shuttle route,
or self-drive/taxi access. This is an important factor that can
impact on your enjoyment of your Canadian mountain holiday!
- Quality: Fulll-service
luxury hotels, smaller boutique lodges with personal service, or
self-catering lodges and condominiums/townhouses.
- Amenities: What
can you not do without during your vacation: A kitchen? A private
hot tub? In-suite washer/dryer? A heated pool? Fitness facilities?
- Budget: Is quality
more important to you than cost? Are you on a tight budget? Have
a look at our sample packages to get an idea of what to expect:
Please be aware that we’re
unable to assist with packages that exclude accommodation unless
the services requested are for at least 4 participants. In this
case, a non-refundable deposit to the value of at least 50% of each
person’s arrangements will be charged upon confirmation. Packages
that exclude accommodation are 100% non-refundable after full payment
has been processed.

STEP 3 - THE QUOTING PROCESS
Once we’ve got the necessary
information, we’ll check availability of accommodation and
provide a free custom quote. We’ll send the quote to you via
email, fax or mail. Quotes are sent in writing – this is to
ensure that our clients have all the relevant information right
at their fingertips, and avoids misunderstandings.
Quotes will include the various accommodation
descriptions, any activities and services that you have requested,
and links to our booking
policies pages. You can then study the information at your leisure,
and are free to share it with your fellow travelers!
Please be aware that accommodations/services
are available at the time of quoting, but that space will not be
“held” until the reservation is confirmed by the property
manager and secured by your deposit.
The sooner you book, the better chance
you have of confirming your first choice!
We’re happy to quote as often
as it takes to ensure that the package you choose is tailored to
exactly match your needs!
STEP 4 - MAKING A RESERVATION
Now that you've chosen the package
that best suits you, its time to make a reservation!
You will be sent a booking
agreement so that you can give us your correct details, and we can
make a reservation on your behalf. By signing this document, you
(and, by association, your whole party) will be confirming that
you have read, understood and accepted our booking policies as provided
on our website.
We accept Visa and MasterCard,
and need the card number, expiry date and the name as it appears
on the card. In order to accommodate groups, we are pleased to accept
as many credit cards as you would like to provide. We simply ask
that the group leader collect the relevant details from all participants,
let us know the portion of the package value to be charged to each
card, and email or fax the details to us.
Please be assured that your personal
information, aside from your name, will not be divulged to any third
party in any form without permission.
Additional details about your party
may be required at a later date for the reservation of activities,
eg: for ski/snowboard school we’ll need children’s full
names, dates of birth and ability levels, while for adults we just
need names and ability levels. We’ll get this information
from you, when we need it.
STEP 5 - CONFIRMATION
& DEPOSIT
Once we’ve received written
confirmation of the accommodation portion of your package, the deposit
payment will be processed. All other services will also be confirmed
as soon as possible.
A confirmation package will be sent
to you at this time. This will include your confirmation letter,
relevant brochures and maps, and the invoice reflecting the deposit
payment together with the credit card slip/s.
Confirmation details will also be
emailed to you.
STEP 6 - FINAL PAYMENT
& DOCUMENTATION
The balance due will automatically
be processed against the credit card/s we have on file on the final
payment date, unless you provide alternative payment instructions
at least 24 hours prior to the due date.
Note: It is not possible to switch
credit cards after payment has been processed.
Your arrival pack will be prepared
and forwarded to you via registered mail. This will include your
detailed itinerary (which will include check-in instructions, addresses,
etc), vouchers for all prepaid services, final invoice and credit
card slip/s, etc. The itinerary will also be emailed or faxed to
you, so that you have all the relevant information on hand as soon
as full payment has been processed.
Please be sure to study the itinerary
details carefully to ensure that everything is as it should be,
and let us know immediately if there are any discrepancies!
STEP 7 - ENJOY!
All that remains is for you to enjoy
your holiday!
Please don't forget to take your
arrival pack, and all its contents!
